It can be difficult to manage appointment times with your clients when you are not in the same location. This is where an appointment calendar on your website comes in handy! You can use this tool to show up-to-date appointment information, and it will sync perfectly across all of your devices so that you always have everything at hand.
In just a few minutes, we’ll go over 3 key features of online appointment calendars that will help you manage appointments more effectively for both yourself and your clients!
The first key feature is appointment slots. An appointment slot is a measurable unit of time that you can reserve for one client appointment. This allows your clients to plan accordingly and gives them the option of selecting an open appointment or requesting specific timeframes if their schedule changes.
You can set these up in different increments, such as half-hour intervals, 15-minute intervals, etc., but be sure to keep it consistent across all appointment slots so they are easy to understand by yourself and your clients!
The second key feature is day availability. A lot of website calendars will allow you to show what days are available for appointments with color-coding – green means there’s time on this date & red means there isn’t any free space on this date! Make sure you update these regularly because if they’re incorrect, your appointment slots will quickly fill up and you won’t be able to book clients.
The third key feature is appointment duration. You’ll want this in minutes or hours so that the time block shows how long an appointment lasts on your calendar instead of just a grey section with no timeframe – it makes it far more difficult for yourself and people looking at your online schedule! When we set ours up we chose 15-minute increments which work well because most services are around 30-45 minutes, but if yours isn’t then select the option that best suits your needs.
You can set these three key features individually on each appointment slot or all together across all appointment dates & times – whatever is easiest for you! We’ve had some appointment slots that are just set to free or ‘available’ where we don’t want any appointment entry for the day.
You’ll also see on this online calendar it’s possible to choose what color you’d like each appointment type – services, classes, etc – to be displayed in (like blue), which is very helpful if you need different colors for different things.
For example, one of our appointment types might be orange and another green because they’re two separate programs within your service! This can really make viewing your schedule easier as well as make it more aesthetically pleasing!
In conclusion, appointment calendar software can be a great tool for managing appointments with your clients.
